Purpose:
This policy outlines the procedure for taking and handling photographs of driver’s licenses during check-in at our lodges. The photograph serves as a means of verifying the identity of guests and ensuring compliance with relevant security and legal requirements. We are committed to protecting the privacy and security of personal data in compliance with the General Data Protection Regulation (GDPR).
1. Collection of Driver’s License Photograph
At the time of check-in, guests will be asked to present their driver’s license as a form of identification. A photograph of the driver’s license may be taken for the purpose of verifying the identity of the guest. This photograph will be used solely for this purpose and will not be shared with any third parties unless required by law.
2. Data Protection and GDPR Compliance
We are committed to ensuring that all personal data, including photographs of driver’s licenses, is handled in accordance with GDPR requirements. This includes:
• Lawful Basis for Processing: The collection of photographs is based on the necessity of verifying guest identity during check-in and ensuring compliance with safety, security, and legal obligations.
• Data Minimization: Only the necessary information required for identity verification will be captured. Photographs will be of the driver’s license only, and no other personal details or sensitive information will be collected beyond what is required for identification purposes.

3. Retention and Deletion of Photographs
• Temporary Retention: Photographs of the driver’s license will only be retained temporarily for the duration of the guest’s stay at the lodge and will be used solely for identity verification purposes during the check-in process.
• Deletion After Departure: Once the guest has checked out and left the lodge, any photographs of driver’s licenses will be permanently deleted from the device.
• No Sharing or Further Use: Photographs of the driver’s license will not be shared with third parties, nor will they be used for marketing, profiling, or any other purposes outside of the identity verification process.
4. Guest Rights and Consent
• Right to Access: Guests have the right to request access to the photograph taken during check-in if they wish to review the information held about them.
• Right to Rectification: If a guest believes that the photograph or any related information is incorrect, they may request rectification.
• Right to Erasure: Guests have the right to request that their photograph be deleted, provided that it is no longer necessary for the purposes for which it was collected.
• Consent: By checking into the lodge and providing a driver’s license for verification, the guest consents to the temporary capture and processing of their photographic identification in accordance with this policy.
5. Training and Awareness
All staff involved in the check-in process will receive training on data protection and the handling of personal data, including photographs of driver’s licenses. Staff will be made aware of their responsibilities regarding GDPR compliance, data security, and guest privacy.
6. Review and Compliance
This policy will be reviewed annually or as needed to ensure ongoing compliance with GDPR and other relevant data protection regulations. Any changes to the policy will be communicated to guests at the time of check-in, and their consent will be obtained where necessary.
